Intelligent Material Management System for library collections

Helsinki libraries track about 1.8 million volumes with an AI-registered sorting system since May 2019

Problem

Most Helsinki library items float between branches, and rising reservation volumes made it harder to keep each branch stocked.

Approach

RFID tags track items in real time, and staff use a mobile app to move them to the central sorter or shelves. A 'material hotel' at the Pasila library absorbs seasonal and renovation-related overflow. The system handles only item data and excludes customers' personal data.

Takeaway

Helsinki combined real-time tracking with central sorting to move books between branches. The city described the system as still being implemented and disclosed no usage statistics or measured outcomes.
