Problem

Softcat wanted to know whether Copilot could save staff time on sales admin, meeting summaries and reviews without exposing sensitive data.

Approach

Softcat began in October 2023 with ten licences to test data governance. It tightened access to SharePoint and Teams sites with its security team, then expanded to more than 70 users within a week. It later rolled Copilot out across the company. Staff watched a training video and read the AI policy before getting a licence, and teams ran prompt-writing sessions and shared prompts in a library.

Results

20%admin time saved in sales, per Microsoft's customer storyVendor case study[1]
about 45 hourstime saved on each RFP review and vendor assessment task, a Softcat team estimateVendor case study[1]

Takeaway

Softcat checked data access first, then widened use in steps, with training as a condition for a licence.
